Processing of your personal data

When you submit and apply to participate in Aalborg University’s mentor and investor program, we process your personal data in order to administer your participation, evaluate your application, match you with relevant startup teams, facilitate communication, and follow up on and evaluate the program.

The legal basis for this processing is Article 6(1)(e) of the General Data Protection Regulation, as the processing is necessary for the performance of a task carried out in the public interest in accordance with the Danish University Act (Universitetsloven, § 2, stk. 2), which states that universities must conduct research and provide research-based education at the highest international level, as well as disseminate knowledge of scientific methods and results and exchange knowledge with society.

Your personal data will only be processed for purposes directly related to the mentor or investor program and will not be used for other purposes.

The purpose of processing your information

Your information is collected and processed by Aalborg University in order to administer the mentor and investor program, including evaluating your application, screening your qualifications and professional experience, matching you with relevant startup teams, facilitating communication, and conducting follow-up and evaluations of the program.

Consent to use of personal data and general inquiries

Aalborg University will process and store the following personal data provided by you: name, email address, telephone number, address (if relevant for participation/matching), LinkedIn profile (if provided), place of employment and position, mentor/investor experience, and areas of interest.

Based on this information, Aalborg University may contact you via email or telephone regarding arrangements, events, network meetings, and relevant information directly related to your participation in the mentor program, including cooperation at the university within areas such as entrepreneurship, research and product development, knowledge and business collaboration, teaching, and student cooperation.

Your data may also be used to process your application to become a mentor or investor, screen your qualifications and professional experience, and match you with relevant startup teams. Aalborg University will facilitate communication with these teams, enabling them to contact you directly, and will register matches, follow up, and conduct evaluations of the program. In addition, you may be invited to participate in AAU Mentor or Investor Program related activities such as business panels, networking events, and other initiatives where your professional feedback is valuable.

How we store your information

We store your personal data as long as necessary in relation to your participation in the mentor program and in accordance with applicable legislation. When you are no longer part of the mentor or investor program, your personal data will be deleted. However, certain information may be anonymized and used for aggregated statistics and evaluations of the mentor or investor program. These anonymized data cannot be traced back to individual persons.

Your personal data is stored in Aalborg University’s Microsoft Dynamics 365 (CRM) system. Aalborg University has a data processing agreement with Microsoft ensuring that your data is processed securely and in compliance with the GDPR. Data is stored within the EU/EEA.

Your rights

When we process your personal data, you have a number of rights in accordance with the General Data Protection Regulation. This means, among other things, that you have the right to access your data, to have it corrected or deleted, and to data portability.

In certain cases, you also have the right to restrict or object to the processing of your personal data.

Complaints

We must – and wish to – follow the rules at all times. If you believe that we do not meet our responsibilities or that we are not processing your information in accordance with the legislation, you can file a complaint to the Danish Data Protection Agency at dt@datatilsynet.dk.
